Why clients don't come back to your hair salon (and 8 ways to fix it)

Socios Team 5 min read
Clients being looked after in a neighbourhood salon

Most clients who don’t come back to a hair salon don’t leave because of a bad cut: they leave because nobody gave them a reason to return. They forget, another salon happens to be on their way or an offer turns up at just the right moment. To prevent it, you need just 3 things: an experience people remember, a reminder when it’s due and a reward for sticking with you.

The 5 reasons a client doesn’t come back

  1. They forget. The weeks go by and, when they notice they need a cut, they walk into the first salon they see.
  2. Another one is more convenient. Near work, the gym or the children’s school.
  3. A competitor’s offer. A welcome discount at the new barbershop in the neighbourhood.
  4. An “ordinary” experience. Neither good nor bad: nothing that makes them prefer you.
  5. They don’t know when they’re due. Especially with colour or beard treatments, clients lose track.

None of these reasons has anything to do with the quality of your work. All of them can be avoided.

8 ways to get them coming back

  1. Suggest the next appointment before they leave. “Shall I see you in 4 weeks?” is the phrase that keeps the most clients. If they don’t want to commit, at least note down when they’d be due.
  2. Remind them when they’re due. A notification 3-4 weeks after their last cut (“time for a tidy-up?”) arrives just as they’re starting to think about it.
  3. A stamp card per service. “4 cuts = 1 free” is a concrete reason not to switch salons. In the loyalty guide for hair salons and barbershops you’ll find how many stamps to use and which reward works best.
  4. Points on products. If you sell shampoos, waxes or treatments, reward them with a points card: the client buys from you instead of the supermarket.
  5. Touches people remember. Their name, how they like their cut, the coffee you offer while they wait. That’s what turns an “ordinary” experience into one they talk about.
  6. Message them if they haven’t been in for a while. If a client who came every month hasn’t appeared for two months, it’s time to send them an incentive. We explain how to spot this in the loyalty metrics you should be tracking.
  7. Reward them for bringing a friend. An extra stamp for both: the loyal client wins and the new one starts with a head start.
  8. Ask for the Google review straight after the service. A happy client, freshly styled, is the best person to recommend you. Reviews help new clients find you.

How often each client comes back (and when to remind them)

Service Comes back every… Send the reminder after…
Men’s cut 3-5 weeks 3 weeks
Women’s cut 6-10 weeks 6 weeks
Colour or highlights 5-8 weeks 5 weeks
Beard trim 1-2 weeks 2 weeks
Hair treatments Depends on the treatment At the end of each cycle

These are rough guidelines: your appointment book will tell you your clients’ real frequency.

How to tell if it’s working

In the Statistics section of Socios Plus you have the two key numbers:

  • Visit frequency: how often your clients come back. If it’s close to the service’s frequency (for example, every 4 weeks for men’s cuts), you’re on track.
  • Inactive clients: who has gone more than twice their usual frequency without visiting. That’s your list of clients to win back.

Common mistakes

  1. Competing on price alone. There will always be a cheaper barbershop; compete on service and rewards.
  2. Not having client data. If you don’t know when they last came in, you can’t remind them in time.
  3. Rewards that take too long. A 10-cut card, for someone who comes every 5 weeks, takes almost a year: too far away to motivate.

Frequently asked questions

How often does a client come back to the hair salon?

It depends on the service: a men’s cut is usually repeated every 3-5 weeks, a women’s cut every 6-10 and colour every 5-8. Check your clients’ real frequency in your statistics.

What reward should a barbershop offer?

A free cut every 4 or 5 cuts, or an extra service that costs little but is highly valued, such as a beard trim or a treatment. You’ll find more ideas in the guide for hair salons and barbershops.

How do I win back a client who has left?

Message them with a concrete reason to return: “you’re 1 stamp away from your free cut” or “your next cut earns a double stamp”. The sooner you spot it, the better it works.
